Jenna, if you wanna throw this... The slides up on the screen, here we go. Well, hey, Ohio. Thank you guys for coming out. We're so excited that all of you guys are here. We're We're gonna go over a pretty major topic right now, which is how to grow your agency during Ohio's moratorium. We know this is a really scary thing. That word is really daunting, and everyone wants to know what's going on with it. So we're gonna give you, the tea, if you will, with the moratorium. We're gonna spill the tea, and then we're gonna jump into some practical ways to help your agency during this time and gain some new clients. Before we get started, we did just wanna put some information up on the screen that this webinar is intended for general informational purposes only. While we strive to present accurate and up to date information, the landscape of Medicaid benefits is subject to change and specific details may vary based on state regulations and individual circumstances. If you guys disagree with this disclaimer, now is your chance to log off of the webinar. You'll see we have a new screen for you guys. We updated our software. If you've been coming to Jia's webinars for a while, hopefully, you have. So now your documents are gonna be listed on the side right over there for you, and you guys can click there. If you're interested in the software demo with Jio, you can click in, see our EVV software, book a demo over there, and then your q and a box is gonna be right next to that documents button. That blue button is a button, and then click on q and a, and then you guys can chat right in there and ask questions if you would like. So we'll go over any questions you guys have at the end if you guys choose to drop some in there. If you don't choose to drop some in there, we'll just go ahead and head out of the webinar, but we would love to see it. Also, we have some emojis on your screen that you guys can react. If you guys would love to send us emoji, we would love to see it. And I think we should get started by testing our question and answer box. What do y'all think? The first person who types in their city, we will send a $25 Amazon card to. So get type in. Type in your city, and we'll send that first. person Amazon card and announce it live in just a minute. It's a little bit of a smaller webinar today, so you probably have a pretty good shot if you enter in your. city. I would be chatting in. Alright. So on today's agenda, we're gonna go over what the moratorium means for you, becoming the agency discharge planners call first, making sure families can find you, hiring and keeping the caregivers you need to grow, and steps to take to start growing today. My presenters today are Jenna Rae, your Ohio specialist, and Mitch Kelly, your Ohio strategist. So they are specific to Ohio, know everything about Ohio Medicaid. We're super excited to have them on today, They're gonna be going over everything on the webinar for you. My name is Bailey Anderson. I am the marketing manager, and I'm gonna head it off in just to hand it off in just a second. Some of you guys might have wandered in here today and you're thinking, who is Gio? What exactly is is it that you guys do? Well, it's simple, really. We're the easiest to use EVV software on the market, and we're also a real life billing team that can get you paid the absolute most. We will get you paid on average 15% more, and we build over $500,000,000 in Medicaid claims paid. And paid is that important part. Right, guys? Right. That's right. Alright. The chats are in. And the first winner is Abonia from Cincinnati. If you guys wanna chat back your, I'm sensing. email address. Yay. And then we'll do a second place, which is Bromie from Cincinnati. So we'll send each of you guys a $25 gift card. If you chat in your emails, no one else can see them but us. And that way we know where to send those gift cards to. Alright. Jenna, can you go over what's happening in Ohio for us and tell us about Yep. So I'm sure you guys have heard about the moratorium moratorium? by now. We've talked about it a lot on our webinars. I'm sure you've gotten an email from me about it, but Ohio has paused new Medicaid provider enrollment until at least November fourteenth of this year, and they can extend it if they want to, in six months increments. So be on the lookout around the middle of November to see if they do that or, if the moratorium is up. But what this means is no new agencies can enroll. So if you're actually already a provider, it gives you a really good shot at being able to grow. You're not competing with anybody. You should be asking how much ground can we gain while the door is closed to everybody else. So it really is a great way to make sure you're growing your agency. You're not splitting referrals with anybody. If there's new clients coming in, there's no new agencies coming in to try to swoop those clients up. So, it really is a great time to grow your agency. I know a lot of new people are like, well, we can't expand into new services or anything. But if you get creative with it, there are quite a few ways you can still grow. So a few things that you can and cannot do right now. So what's on hold is enrolling a new agency with Ohio Medicaid. So no new providers can enroll right now, but also expanding into certain new services is paused. You know, you can't go enroll under a new waiver, things like that. So, again, like I said, you kinda have to get creative right now. Lots of people think, well, the only way to grow is to start expanding into new services, but that isn't the case. So a few things that you can do is take on more clients in the services that you already provide. You can become the go to agency for discharge planners and other referral sources. You can show up first when families search online, and you can build staff so that you can say yes to more client referrals. And we're gonna break down each one of these and give you steps that you can take today in order to start doing these things. Alright. So part one is gonna be becoming the agency that your referral sources call first. So let's jump into it. I'm sure you guys know by now that referrals matter a ton. So actually seventy percent of new home care clients actually come from referrals. So discharge planners are a super good source of referrals for your agency, and they often need to place patients fast, usually within thirty days of finding out that they're going to need to be placed. So a lot of times, they keep a short list of agencies that they trust, and they just go down that list calling. Are you available? Can you take a client? And if you don't even pick up the phone, it could actually lead to them just picking another agency to send to you. So it's really important that you are responsive to them and are available to take on new clients, or else they might send clients to someone else. So it's really a good thing to do to try to become the default referral. So here are four steps that we have for you guys that you can take in order to become that go to agency. Number one is building your target list. So you can start with hospitals, skilled nursing facilities, physician offices, things like that that are close to your service area. And the most important thing about this is to actually get a named contact at each one. We were talking to someone from one of the triple a's here in Ohio, and they said that the number one thing you can do is not leave a random brochure or something with a random person at the place that you're trying to get a referral from. They want you to go in, find a contact. You can ask for an office manager or she even said a marketing person is a good person to give that information to, but make sure you get their contact information and you're getting in touch with them every time. The second thing is to lead with what they need. So a lot of times discharge planners are graded on whether patients end up back in the hospital. So what you can do is if your agency is really good at keeping people out of the hospital, let them know that. That's something that they actually want to know. It makes them look better if they're sending people to an agency and those clients aren't going right back to the hospital. So make sure you let them know things like that that are actually beneficial to them. You can give them a list of services, but maybe don't only give them that list of services that you offer. The third thing is to guarantee a response time. So if you can respond within a certain amount of time after they contact you, guarantee that you will do that. Make sure that you hit it though because if you're lying, well, that doesn't do you any favors. But anything like, you know, we will respond within twenty four hours, we can confirm intake within twenty four hours or two days or whatever it is. Be realistic, but that's really good and make sure that you're doing that every time. The last thing is to close the loop. So every time that you get a referral from a discharge planner or another referral source, you can always send them a quick update of what happened, who the caregiver is, any updates on the client. In just a minute, we will also give you some templates for things that you can use to send over to them. But before we do the templates, here are a few things that actually end up costing you referrals. Number one is sending a generic flyer to a department line. So again, the best thing that you can do is give your contact information to a person that you know is in charge of finding agencies to send clients to. That's gonna be the best thing you can do. The second is being too slow to respond. Again, if you don't answer your phone, they're going to call someone else and the first person that answers and is an agency they trust is probably who the clients are going to be going to. The last thing is not updating them after they send you a client. Case managers really love to hear about clients and how they're doing. Pretty much all referral sources do. Make sure you're sending them an update after you receive the client, letting them know what ended up happening. Here are a couple of email templates. This is going to be the first one. This is something you can send to them as your introduction. You can just let them know a little bit about your agency. And if this is hard to read on your screen at all, you can download this over in the document section as well under that moratorium growth guide that we have for you. But this is best to send to that named contact at each referral source on your target list. You can send this. Make sure you update it with your information, fill in your information about it, and this is a great thing to send to them especially as a follow-up email and introduction email. Even if you go in person, you can use this as kind of your elevator pitch about your agency. So it's a great thing to send over to them. And then the second thing is about closing the loop. So this is your follow-up email after they have sent your referral as soon as care starts for the patient. It's something that makes them a lot more comfortable sending another person to your agency is if they know what ended up happening with the first person that they sent. So just make sure you let them know when care started, who the caregiver name is, and things like that. And always make them feel like they can reach out to your agency if anything happens. Alright. The second thing is gonna be making sure families can actually find you. But before we jump into that, I wanna open up another poll for you guys. We want to know... Let's see if I can pull it up. How many reviews you have on Google? So you can answer that now. I'll go ahead and share it so you can see it on your screen. But we wanna know. You can say one to 10, 11 to 25, 25 to 50, or 50 plus. I know Ohio's got some pretty big agencies in here, so let us know. Alright, Mitch. Do you wanna tell a joke or a fun fact? What do you have for me today? Let's do a joke. I love a what I got here. joke. What happened when two slices of bread went on a date? What? It was loathe at first sight. That's a good one. I haven't. heard that one either. So it's always good when I hear a new dude. new one. Alright. Let's see. Looks like a lot of you guys have between one and twenty five. I'd say you've got a pretty even split, so that's pretty good. It means you've started somewhere. Alright. So let's jump into how you can make sure families can actually find your agency. The number one thing you can do is fix your Google business profile because when somebody searches for home care, this is going to be what pops up. So you want to make sure you have the correct name, address, and phone number, that you have five to 10 recent photos of your team, your office, things like that. A new post at least once a month is always good, so it keeps your profile active. You wanna have your full service area and not just one city, especially if you provide, you know, services in a whole county or things like that, make sure that those are all in there. Make sure you have all of the services that you offer filled out. So if somebody searches something more specific than just home care, you will still pop up for that search. Then make sure that you have all the Q and As answered in that Q and A section on your Google Business profile. How to get more reviews? If you're looking to get that number up, you can always get more reviews. It's pretty easy to get reviews if you know how exactly to do it. So we have a quick five step system that we've set up. We've talked to agencies, and this is what they do in order to get reviews. So number one is always ask after a good moment and not three months later. So if somebody says that they had a good interaction with the caregiver, that's the time that you wanna ask them for a review. Number two is to ask in person or by phone first and then follow-up with the link, which kind of goes into number three. You will actually get a review link that goes directly to your reviews on your Google Business profile when you set up that profile. So make sure that you go in there and grab that link so you can say, hey. Thanks for interacting with me. You know, whatever good interaction happened, would you mind leaving me a review? And you can send them that link to go there in order... Instead of trying to make them, you know, search their agency, find something that doesn't match your agency, leaving a review on the wrong profile. I know that happens sometimes. So make sure you send them that direct link and make it as easy as possible for them. Number four would be to ask the family member that's most involved in the care. Sometimes the actual person receiving the care isn't comfortable with leaving a review. They don't want their name, but you can ask a family member or someone else that you interact with. And number five is always keep it to a sentence or two, but make it personal. So, you know, you know your clients, you know their families, let them know you would really like a review if you've had a good interaction with them, and just make it as easy as possible for them to leave a review for your agency. Alright. And then we're gonna get into paid and local search. And I know a lot of agencies are like, oh, we wanna start ads, but we don't know where to start. So we have a guide over in the side. It's that Google how to guide so you can learn how to set up ads. This webinar already has a lot of information in it, so I didn't want to go step by step right now for how to set one of those up. But hopefully, that guide gives you a good walk through on how to do that. But a little bit about paid and local searches is you don't need a huge budget to start. I know lots of agencies are thinking this is gonna cost me a ton of money and if I don't know what I'm doing, I don't want to lose a ton of money. But you don't need a huge budget to start out with. And if you have a local campaign, so if somebody searches home care in your area, that's what you'll want to focus on first. So a few things that you could buy out would be home care in your county, your city, things like that, or just something more generic like Medicaid Labor Home Care Ohio. Yeah. And, Jenna, with these ads, something you guys are want... Going to want to keep in mind when you are paying Google, they'll have a recommended amount for the key terms. When we started doing Google key terms, I was really nervous. I was like, how do I know Google doesn't just want more money? Right? How do I know they're not just increasing that ad spend and telling you to spend more? And how do you know it's actually gonna work? I can tell you that it actually does work. And if they say to give it $75 a day and you can afford it, give it the $75 a day. You'll probably receive a lot of phone calls from that if you can afford that. If you can't afford what it's recommending, that's totally okay. Just do what you can afford. You know, you can launch your first ad with probably as little as about a $100, $50. Try it out for a few days. List it for at least $20 a day. Spread out that a $150 to, like, a seven day campaign, which is as much as you can, And you're probably gonna get a lot of phone calls with that. From that, you can onboard clients, and then you can launch your ads again. Take the money from, those clients you get and then launch your ads again. So, sorry to chime in there, but I thought that might be helpful for you guys because I know digital ads can be really scary when you're first starting. You can feel like you're just, you know, burning money or throwing money out the window, and we certainly don't want that to happen to anyone. But, I would say a really good place to start for home care is those Google search terms. That's a good place to do ads, even more so than the Facebook ads and such like that. Mhmm. All those those those can work too, but I think Facebook ad targeting is harder than people who are searching in key terms. Yeah. For sure. I know we talked to a lot of people and some people don't even use Facebook. So making sure that you're listed on Google, that you have your counties filled out on Google, and your contact information is super great because most people are probably just gonna pull their phone up and say home care near me and start looking on their phone and pick one. of those people on Google. So that's a really great. place to start. And, Jenna, you might be covering this later, but if you guys set up your Google profile, make sure you got some reviews on there, a couple five star reviews, even if it's just references, personal references, your best friend going on there, leaving you five stars and saying, Jenna is so great to work with. You know, you can really trust her. They can just be references to start up, but you need some five star reviews under there because if everyone else has a million five star reviews and you don't have any reviews at all, I mean, who would you trust with your mom, dad, or, you know, whoever you're sending into home care. Right? You would trust the the agency with the most reviews and when. people have good things to say. So... Yeah. Yep. All helpful. Thanks for your Google profile. Yeah. Alright. We're gonna move into staffing in just a second, but I've got another poll for you guys. We wanna know what your biggest staffing challenge is right now. You can say finding caregivers, keeping caregivers, scheduling them, or all of the above. I had to give an all of the above option here. It's not like that that might happen. Alright, Mitch. What do you have for me? Alright. So who won the neck decorating contest? I don't know. It was a tie. It was a tie. That's a good one. I know. Alright. Let's look at these results. We've got a few all of the above. and a lot of keeping caregivers, which isn't too surprising. I know that's a really big struggle that agencies have. Alright, Mitch. I'm gonna hand this over to you. I know this is this is your bread and butter. Right? You know all about staffing. A lot about staffing. That's right. Did nine years of staffing, at another company, so can talk to you guys a lot about what's going on with staffing. So let's go. Let's get into it. Alright. So, yeah, let's get into it. What we've learned, and I understand it is very difficult to keep on... Keep a hold of good quality caregivers. And what we've learned is that, you know, a lot of agencies are turning away up to 25% of clients due to lack of staff. And I understand, like, if you still wanna continue to grow your agency and, like, pick up those referrals, you need caregivers. You know, every caregiver you keep, you know, as a client, you don't have to turn away. But, like, you know, we can look at a few things of, like, what what we can do, where to start, to be able to keep those caregivers. So one, looking at word-of-mouth word-of-mouth hiring. You know? Asking your caregivers if, you know, they didn't have friends or, you know, they know anyone who's able to come in and work for your agency. We're gonna take a look at the first ninety days, you know, as far as, like, keeping in touch with those caregivers and then also just looking at the everyday problems. Alright. So looking at word-of-mouth, as you all know, like I said, you know, it's hard to keep, you know, keep a hold of good quality caregivers. But once you find those good ones, you definitely wanna ask them, you know, if they have friends, if they know of anyone else who's interested in becoming a caregiver for your agency. Those are the people who are gonna stay with your agency. They're gonna take care of your clients. They're gonna make sure everything's good. Now what we've learned, especially, like, in the staffing realm, is when you have incentives for your caregivers, for example, paying a ninety day referral bonus, that's how you're gonna get people motivated to be able to give you more referrals, for, you know, for good quality caregivers, so you can add caregivers to your agency. So you wanna ask them as as for many referrals as possible so you can continue to have that consistent flow of caregivers coming in through your agency. And as you're doing, like, the, you know, the paying out the bonuses, make sure you're doing it on time. You know, a lot of agencies have told people before, like, hey. You get someone in the door for us, we'll give you a referral bonus at this time and day, and then the bonus doesn't come through. Make sure if you're saying it, you're actually doing it. Alright. So now looking at, like, the first ninety days, and I'm gonna give you guys just a little bit more information here, some of the things that I've learned that have worked as well. But, like, looking at day one, soon as you bring them in, you know, send them a call, send them a text, make sure, like, you know, they understand what their schedule is, there's no confusion. You know, as you go on through the week, you know, people can get confused about what their assignment might be. You just wanna make sure that there's no confusion at all and they are on track to be able to make it to the shift. Now looking at that thirty day mark, up until that point, there can be so many different issues that could arise with, you know, maybe someone scheduling. Maybe they've been having some issues with, like, you know, showing up on time. You wanna make sure before you even get to that point that all that is nipped in the bud and that situation is taken care of. Now looking at that ninety day mark, hey. If we got referral bonuses to pay out certain people, pay them out. And then as soon as that's paid out, ask those people who have still remained on your caregiving team, hey. Where are your referrals at? Can you... Do you have friends who are able to make it in and help us out? Something that we used to do was we would... As a recruiter, I would go to the first shift of our caregivers, and then we would take a picture with them, post it online, you know, to do to do some, like, brand awareness almost. But, like, they really appreciated it because, like, hey, my recruiter showed up to my shift for me, had a quick conversation, bought me a coffee. You You know, sometimes we gave out gift cards. But, like, doing, like, little things just to keep them, you know, motivated, you know, of working with a certain company. So make them feel good. Make them know that, like, this is a a great work environment to be in. That's awesome. Alright. Yeah. What about the everyday stuff? So this... You know, there's gonna be so many different things that can cause issues, but, like, obviously, looking at, like, pay can be a pretty big issue for some caregivers just because, you know, if you come in with a certain price and they want to... They're they're telling you, hey. I already looked at this other agency, and they're gonna pay me $5 more. It happens. You know, if your budget can't afford it, we understand, but, like, there's other reasons that caregivers are leaving places, and it's very budget friendly on how you can fix those situations. Number one, you know, you look at a caregiver's schedules and, like, their hours. Make sure, like, they clearly have an idea of what that looks like. So there's a app that they have on their phone. They can have, like, a calendar showing, like, what their schedule is for the week, for the month, for the next few months. Make it so easy for them that they're like, okay. There's no questions about where I need to go, what time, and, you know, make sure that they show up. Sharing the change... Sharing scheduling changes at least twenty four hours in advance. If you're gonna do this... Because, you know, coming from a staffing agency where, you know, we were telling people thirty minutes sometimes before a shift, like, hey. Actually, you're canceled. You you know, you don't wanna get messy with this. This is something that you just wanna make sure that if there is a a scheduling change, we would try and let people know if we knew about it five days before. But at the very least, make sure you let them know twenty four hours before. Next on the list is, like, checking in on caregiver satisfaction. I believe in this so much because when you don't check-in and then the the one time that you actually do, there's gonna be, like, 30,000 different problems and issues. And it's like, man, I wish we coulda got this situated months before, but at the very least, we should be checking in, on caregiver satisfaction at least twice a year. I would recommend more, but, you know, whatever works for you... For your agency, be able to just check-in and see how your caregivers are doing. And then lastly, just scheduling caregivers two weeks in advance. Yeah. Give them enough time to, like, plan out, you know, because outside of work, they're gonna have a bunch of different things. Maybe they have kids. You know, they need to get them to to school, figure out, you know, babysitting, like, all these things. So you wanna give people, you know, enough time in advance with their schedules so they're able to, you know, situate their schedules on the back end as well. Awesome. Yeah. Mitch Mitch knows a lot about staffing, but I think a lot of people forget that caregivers are people too. I think some people are just like, well, you know, it's their job. They'll figure it out. But trying to make it as easy as possible for them is really important for your agency. Check and see how they're doing. I mean, it's... There's lots of things you can do, like, Mitchell's going over, and, obviously, he knows about it. So if you have any questions, he seems like a good guy to ask questions to. Yeah. Absolutely, Jenna. Yeah, Feel free. Jenna. I think a lot of people, when they start their agency, they want robots to fill these shifts. almost, and they forget they're not robots. You know? Your caregivers are real people, and I know sometimes they can be hard to keep track of. I have a troublesome person every now and then that might drive you a little bit nuts, but, you know, For things really will help you with retention in the long run. So, Mitch, thanks for sharing. sure. Appreciate it. Yeah. No problem. Anytime. Alright. So we're gonna wrap it up with your what to do to get started. So we've got three categories and three things you can do as soon as possible to start growing your agency for each of those. So under our referrals category, the best things you can do is build your target list. So who do you want to go reach out to to get referrals from? Set your response time. Set it realistically, but how soon are you going to respond to them and let those people know, hey. We can give you an answer by this time. And then start closing the loop. So follow-up after you get referrals. Make sure you're sending those follow-up emails, calls, whatever it might be to let them know what happened with their clients. Under the visibility category, you can update your Google Business profile, make sure that you have everything filled out and that you're showing up. You can get your direct review link under that profile so you can send it over to people and, you know, give them information so that they can go leave you a review as easy as possible. And then start local search if you're feeling up for it. You can set up some ads, make sure that your website is, you know, up to date. Everything's looking good there. And then for staffing, you can launch your referral bonus if you don't have one already. Make sure you're scheduling your ninety day check ins for all of those new caregivers, and then start tracking turnover. Why are people leaving? Set up those caregiver satisfaction, you know, surveys, things like that. So those are our top tips for what you can do today to get started. Alright. Mitch, I know this is something that you've been talking to a lot of people in Ohio and they are excited about this custom forms thing. Right? Yes. So this is one of my favorite functions just solely because, you know, obviously, we have our software and, you know, all the different features on it that you're able to do. But this is a way that you can customize it specifically for, you know, the different forms and things that you want to have uploaded into our software. So I'm gonna share my screen real quick. Gonna go over to the screen button. Yeah. I'm excited to see this. And, yes, I'm gonna share real quick. Oh, it looks so so nice. Alright. Now hopefully everyone can see this, but this is very simple. So if you're within our software and you come down here to agency management, and then you're gonna click on custom forms. Now over here, this is very simple, and anyone can do it. So you're gonna hit request form, and over here, it's just gonna give you a quick little couple drop downs. What's the name of the form, the reason, that you wanna upload the form, and then the category that you want it in? Now I talked to a lot of developmental disability agencies, and there's, like, a... Some type of transportation form and then, like, another home home care... Home giver... Homemaker and, like, a caregiver, like, task list form, you're able to upload it right here to this form file, and then it's gonna send a notification to our developers. And once they see it, they're gonna get it approved, and then it will be uploaded into our software. Simple as that. That's so awesome. I know so many people don't wanna part. with their forms. They have things that work for their agency and they're like, I don't wanna give these up. But you also don't have to keep doing them on paper anymore, which I think is great. Some people are, like, Right. ready to switch over, be all digital. So this is a great way to do that. Thanks, Mitch. No problem. Anytime. Yeah. So if you're. interested in, you know, checking out custom forms, wanna know more about the software, we've got a fancy new button down at the bottom. It feels like we're on TV, like on the news or something. But you can book your free software demo and. learn a little bit more about Geo there. Yeah. You guys don't be scared to click in. But don't just take it from us. Our customers love us, and we'll be right back after this. Jio has completely turned things around for us. They have been wonderful. Their customer service is outstanding, and our billing has gone way up as well. They're keeping us up to date with all of the changes. They have the information that we need. Even down to keeping up with authorizations, one thing I love about the app, it's like a one stop shop for managing time. And with all the technology that Geo offers, we were able to ensure that we were staffed correctly. We weren't going over units. They're willing to go before their team to bring the results that that you need to grow your business. When you have a competent software company standing behind you and they're knowledgeable, they're efficient, they're always there when you need them, they held your hand every step of the way to make sure that you understand the things that you're doing and and the rationale behind it, the peace of mind is indescribable.
